Practice management that's wired into the work
Built for accounting & tax firms · Auto-tasks from real work · SOC 2 ready
How it works
- A task inbox that fills itself. Tasks are generated from what's actually happening, statements waiting for review, transactions waiting for approval, an organizer that's come back, a return that's ready. You see firm-wide and per-client views, with badges on each section.
- Rule-based auto-tasks. Instead of remembering every follow-up, the system raises it: "Review N statements," "Approve N transactions," "Confirm uncertain matches." A "what's next" banner points to the next step.
- Workflow templates. Reusable engagement workflows, the tax-prep workflow ships ready to use, so each engagement runs the same eight-step path from organizer to signed return.
- Staff, roles, and assignment. Invite team members, assign them to clients with a per-client grid, and copy permissions across staff. White-label sub-accountant support lets a firm bring its own clients under its own brand.
Automation that comes from the work, not a separate tool
Most firms run a standalone workflow tool next to the software that does the work, then reconcile between them. In LucaLedger the automation is the work: signing an engagement letter creates the organizer and its tasks; a returned organizer creates the review tasks; an approved strategy routes to a reviewer. The tasks are real because they're generated by real events. (Workflows are template-driven and configurable, not a visual drag-and-drop builder.)
What firms used before
Firms typically run Karbon, Canopy, Jetpack Workflow, or Financial Cents for practice management, strong tools, but they manage the workflow around software that actually does the books and returns. Karbon's workflow engine in particular is excellent and best-in-class for large teams; the trade-off is that it doesn't perform the work it tracks. LucaLedger generates the tasks from the work itself. (More head-to-head comparisons publish soon, see all comparisons.)
Frequently asked questions
Where do tasks come from?
From the actual work, statements to review, transactions to approve, organizers returned, returns ready, plus any tasks you create. You get firm-wide and per-client views.
Is there a visual workflow builder?
Workflows are template-driven and configurable (the tax-prep workflow ships ready to use). It isn't a drag-and-drop canvas, it's built around the real engagement steps.
Can I manage staff and assignments?
Yes, invite team members, assign them to clients, and copy permissions across staff. White-label sub-accountant support is included.
Does it replace Karbon or Canopy?
For most firms, yes, and it adds the bookkeeping, returns, and strategy those tools leave to other software. If your firm's core need is deep large-team workflow orchestration, compare carefully on the Karbon page.
Is LucaLedger SOC 2 compliant?
LucaLedger is SOC 2 ready, controls and evidence are in place, with encryption in transit and at rest and row-level isolation.
