Top to bottom, the matches are in procedures, scheduling, and capacity, the gaps are in the actual accounting and tax work and the client-facing layer, because Aero was built to organize work, not perform it. Aero's edges are procedure/knowledge-base depth and a simple flat-fee price; LucaLedger's edge is doing the books, the returns, the planning, and a white-label portal in one place. For the cost angle, see the stack breakdown on our Aero Workflow alternative page.
When to choose Aero Workflow
- Your priority is procedure standardization, the same step-by-step checklist for every recurring bookkeeping engagement, firm-wide.
- You want capacity, productivity, and profitability reporting on the work.
- A predictable flat per-firm price (no per-seat creep as you hire) matters, and your bookkeeping and tax tools are already settled.
When to choose LucaLedger
- You want the platform to do the bookkeeping and the return, not just document and schedule them.
- You want a white-label client portal, books, returns, and planning in one system.
- You want the tasks generated from real work, and you're consolidating the stack rather than adding another layer on top.
Migrating from Aero Workflow
Aero isn't the system of record for the books or the returns, so adopting LucaLedger is consolidation, not a teardown:
- What transfers: client and contact records (CSV), documents, basic firm structure.
- What you rebuild: procedures and recurring-task templates, they're firm-specific, so you re-create them in LucaLedger (a chance to simplify), where the workflow is generated from the bookkeeping and tax work itself.
- Smart timing: off-season; run one or two clients end-to-end, then bring the rest.
- What you stop doing: paying for and reconciling a separate bookkeeping subscription and tax engine, and emailing clients instead of using a portal.
Frequently asked questions
Does Aero Workflow prepare returns or keep the books?
No, it's procedure and workflow management. It connects to QuickBooks Online but performs neither. LucaLedger does both natively.
Does Aero Workflow have a client portal?
No. Its Client Vault stores client login credentials for staff; it isn't a client-facing portal. LucaLedger includes a white-label portal for document exchange, e-signature, and return delivery.
Is one more secure?
Aero hosts on Microsoft Azure (SOC 2 / GDPR compliant) but doesn't report its own SOC 2 attestation; LucaLedger is SOC 2 ready, working toward Type 2.
Is LucaLedger cheaper than Aero Workflow?
We don't publish pricing, schedule a demo. Aero is a flat per-firm fee, but you still pay separately for bookkeeping and a tax engine, both of which LucaLedger includes.
Is LucaLedger SOC 2 compliant?
LucaLedger is SOC 2 ready, controls and evidence in place, encryption in transit and at rest, row-level isolation.
